Case study 03 · Xceltech
Can one system handle our deals and our bids?
The brief
Xceltech runs two completely different sales cycles. Standard deals move through a classic funnel. Formal bids follow a separate multi stage process with their own documentation, risks and submission tracking. Off the shelf CRMs treat the two as the same thing.
The result was spreadsheets, manual data entry, and no single place to track a deal from first contact through to a closed bid.

The build
A custom CRM on Pimcore with two pipeline tracks: a standard funnel running Lead, Demo, POC, Proposal, Negotiation and Close, and a dedicated bid workflow for formal submissions, with a one click hand off that carries all deal data across when a deal transitions. Every deal lives in an Opportunities module with linked contacts, notes, meeting history and a progress bar that moves with the stage. A Reports module replaces the spreadsheet imports, with submissions linked straight to the deal and tracked with risks, action points and a probability the team sets from their own read. A live dashboard shows active deals, pipeline value and win rate.
